The Process

Four Steps to Your Translation

The entire process is handled by email — no account registration required. You stay in control at every stage.

  1. Upload or Describe Your Document

    Use the quote request form to tell us about your document. You can attach your file directly — accepted formats include PDF, DOCX, JPG, PNG, and TIFF — or, if you prefer not to share the document at this stage, describe its type, approximate page count, and the language pair (English to Spanish, or Spanish to English).

    Include any relevant details: the intended use of the translation (for example, an immigration application, a university admission, or a legal proceeding), whether you need a certified translation or a standard translation, and any deadline you are working to. The more information you provide, the more accurate and useful your quote will be.

  2. Receive Your Quote

    We review your document and send you a written quote by email — usually within one business day. The quote sets out the price, the estimated turnaround time, and any questions we need you to answer before translation can begin.

    Pricing depends on the service type and the length of the document. Standard translations are priced per word; certified translations are priced per page. We will always quote a fixed price before you commit, so there are no unexpected charges.

    There is no obligation to proceed after receiving a quote. If the quote does not suit you, you are free to walk away — no fee, no commitment.

  3. Approve & Pay

    If you are happy with the quote, confirm your order by replying to our email. We will send you payment details, and translation begins once payment is received.

    A note on payment: quote requests and order confirmations are currently handled by email, and we will provide payment instructions when you confirm. We are rolling out a more streamlined online checkout experience — but we are not there yet, and we will not claim otherwise. Once available, the option to pay directly on this site will be clearly signposted.

  4. Receive Your Certified Translation

    The completed translation is delivered to you by email in the format agreed when you confirmed your order.

    • Standard translations are delivered as an editable Word document (DOCX), formatted to mirror the structure of the original as closely as possible.
    • Certified translations are delivered as a PDF containing the translated document together with the signed certification statement. The statement includes the translator's name, University of Malta qualification, the language pair, the date, and a signature — prepared to meet the requirements of the receiving institution.

    If you have any questions about the delivered translation, contact us directly. We are available to clarify terminology or address any specific concerns about the output.

Delivery Timelines

Turnaround Times

Turnaround depends on document length and complexity. We confirm the delivery date with every quote — before you commit.

Standard Turnaround

Most documents are completed within the following general timelines, confirmed in your quote:

  • 1–2 pages: typically 1–2 business days
  • 3–10 pages: typically 3–5 business days
  • 10+ pages: timeline confirmed with quote

Expedited Turnaround

If you have a tight deadline, mention it in your quote request. We will confirm whether it can be met — we do not accept orders we cannot complete on time. Expedited requests may carry an additional charge.

Certified translations may require a small amount of additional time for the preparation of the signed certification statement. This is included in the turnaround estimate provided with your quote — there are no surprises after you confirm your order.

Accepted File Formats

Submit your document in any of these common formats. If your file is in a different format, contact us before submitting and we will confirm whether it can be processed.

PDF Files

PDF is the most common format for official documents — certificates, contracts, passports, and scanned paperwork. Both text-based and scanned PDFs are accepted, provided the content is clearly legible.

Word Documents (DOCX / DOC)

Microsoft Word files are accepted and allow us to deliver your translation in an editable format that mirrors the structure of the original as closely as possible.

Images (JPG, PNG, TIFF)

Scanned or photographed documents are accepted in JPG, PNG, or TIFF format. Clear, legible images are required — very low-resolution or blurred photographs may affect our ability to translate the content accurately.

Your Privacy

Confidentiality

Documents submitted to Meridian Translations are handled with strict confidentiality and used solely for the purpose of completing your translation.

Personal and official documents — birth certificates, passports, legal contracts, diplomas — contain sensitive information. We take the handling of that information seriously.

Documents you submit are used solely to produce your translation. They are not shared with third parties, not used for training purposes, and not retained longer than necessary to complete and deliver your order. Translation is carried out by Santiago Pedraza directly — your document is not passed to other translators or subcontractors.

If you have specific confidentiality requirements — for example, in the context of a commercial agreement or a legal matter — please mention them when you request a quote and we will discuss how we can accommodate them.

Who Translates Your Document

Qualified, Human Translation

Every translation at Meridian is completed by one qualified professional — not outsourced, not machine-generated.

Santiago Pedraza is our certified translator at Meridian Translations. Santiago holds a translation qualification from the University of Malta and works exclusively between English and Spanish. All translations are completed directly by Santiago — not subcontracted to other translators, agencies, or automated tools.

Meridian Translations does not use machine translation as a substitute for human translation. When you receive a translation from us, it has been read, understood, and rendered into the target language by a qualified human being — sentence by sentence.

Frequently Asked Questions

Do I need to create an account to place an order?

No. The entire process is handled by email. You submit a quote request using the form on this site, we reply with a written quote, and you confirm by email if you want to proceed. There is no registration, login, or account required at any stage.

Can I pay online?

We are rolling out an online checkout — but it is not yet live. At present, once you confirm an order, we provide payment details by email. We will announce when direct online payment is available on this site.

What file formats can I submit?

We accept PDF, DOCX (and DOC), JPG, PNG, and TIFF. If your file is in a different format, contact us before submitting and we will confirm whether it can be processed. Scanned documents are accepted provided the text is clearly legible.

Do you translate languages other than English and Spanish?

No. Meridian Translations works exclusively between English and Spanish — either English to Spanish, or Spanish to English. We do not offer translation into or from any other language.

Will my certified translation be accepted by official institutions?

Our certified translations include a signed statement by the translator attesting that the translation is complete and accurate, along with the translator's name, University of Malta qualification, language pair, date, and signature — following standard certified translation practice. Requirements vary by institution and jurisdiction; if you are unsure whether our certification format will be accepted, we recommend checking with the receiving body before ordering. We do not make guarantees of acceptance by specific authorities.

How long does a translation take?

Turnaround depends on the length and complexity of the document. Short documents of one to two pages are typically completed within one to two business days of order confirmation; medium-length documents of three to ten pages within three to five business days. Longer documents and expedited requests are discussed individually. The exact turnaround is always confirmed in your quote before you commit.
